For a first trip to Guangzhou for the Canton Fair, what most often throws your schedule off is not the language — it is documents, routes and a sourcing plan that were not prepared in advance. This guide breaks the trip into five stages — before you depart, arriving in Guangzhou, entering the venue, sourcing efficiently, and the 48 hours after the fair — to help overseas buyers get the essentials straight in one pass.

The Canton Fair is enormous.

Without a clear objective, you can walk for miles in a single day and go home with nothing but a bag of business cards and a phone full of photos.

For overseas buyers visiting Guangzhou for the first time, what really decides how productive the fair is is not "how many booths you saw" — it is whether your documents were sorted before departure, whether you walked in through the right entrance, whether you asked the right questions in meetings, and whether you can organise your suppliers quickly once you leave the venue.

This guide skips vague advice like "look at more, ask more, compare more." Instead, it splits the trip into five stages to help you avoid detours and save your time for the suppliers truly worth talking to.

Important note: Registration, badge issuance, invitation letters, visas, badge collection points and entry arrangements may be updated from session to session. The process in this article is based on the official buyer pages of the 140th Canton Fair and the Overseas Buyer Badge Pre-registration Guide. Please check the latest announcements on the Canton Fair official website again before you depart.

Stage 1

Befoe You Depart: Settle "Can I Even Get In?" First

1. Pre-register only through the official buyer system

The official guide for the 140th Canton Fair lists the following entry point for overseas buyer pre-registration:

Buyer Service System:https://buyer.cantonfair.org.cn/register/index

If you already have a Buyer Service System account, log in with the existing account; if you do not have one, you will need to register with an email address. The system will ask you to select an identity type and fill in your personal and company information.

According to the official guide, you will usually need to have the following ready during the application:

● Valid ID document information and a clear image of it

● A passport-style photo with your shoulders clearly visible against a clean background — the official example recommends a plain blue or plain white background

● Company information

● An image of your company business card

● An email address that can reliably receive verification emails

After completing your details, you still need to go to your inbox to finish verification, then log back into the system to continue the application.

Do not wait until you land in Guangzhou to open the system for the first time. Any single problem — a misspelled name, a rejected document image, an unverified email or incomplete company details — can eat into the time you had set aside for the show floor.

2. Buyer Badge: submitting is not the same as being approved

After completing your personal and company information, go to:

Canton Fair Badges → Overseas Buyer Badge → Badge Application

Once submitted, your application enters the review process. The official guide states that when collecting the badge you must present, as required, the QR code from the system, the original of your valid ID document and your company business card.

Please note:

● Submitting an application is not a guarantee of approval

● Document requirements, collection locations and opening hours are subject to the latest official notice for the current session

● Use only your own genuine identity details, and apply through official Canton Fair channels

3. An invitation letter and a visa are two different things

The official guide shows that after completing your Buyer Badge application, you can apply for and download an invitation letter in the Invitation Letter module of the Buyer Service System.

An invitation letter, however, is not a visa, and it does not mean a visa will be approved. Requirements can differ by nationality, passport type and purpose of travel. Please verify current policy with the Chinese embassy or consulate in your location or an official visa application service, and allow time for supplementary documents and processing.

4. Build a "sourcing task list" before you depart

Answer these questions first:

● What products or solutions am I looking for this time?

● Who is my target market?

● Which standards, test reports or material documents must I confirm?

● What delivery timeline do I need?

● Which suppliers must I book in advance?

Split your targets into three tiers:

Tier A:● must meet in person

Tier B:● see them if time allows

Tier C:● for understanding market trends

Without that list, the bigger the venue, the more easily the crowds will carry you along.

Stage 2

Arriving in Guangzhou: Don't Underestimate Cross-City Transfers and Venue Distances

1. Confirm which phase you are attending first

Special reminder: before booking flights and accommodation, confirm which phase your target product category falls into. Pick the wrong dates and you will be in Guangzhou without the exhibitors you came to see.

2. When choosing accommodation, don't only ask "is it close to Guangzhou?"

More practical criteria:

● Whether getting to the venue requires frequent transfers

● Whether the commute is manageable during peak hours

● Whether it is convenient to return to the hotel to organise samples, business cards and quotations

● Whether there are easy dining options and space for impromptu business meetings nearby

This article does not recommend specific hotels and does not quote unverified prices. Some hotels may set up temporary buyer badge service points, but the list is published per session — please follow the official Badge Collection Points notice, and do not book based on previous years' information alone.

3. If you are transferring via Hong Kong or another city, build in buffer time

When transferring to Guangzhou from Hong Kong, Shenzhen or another city, do not plan cross-border crossings, transfers, baggage collection and peak-hour congestion according to "the shortest time on the map." We suggest keeping your arrival day for setting up communications, payments, confirming badge collection points and getting familiar with your route — do not squeeze important meetings into the first few hours after landing.

4. Prepare digital tools and payment backups in advance

Before you depart, make sure your phone can reliably use:

● Email and the Buyer Service System

● Maps and translation tools

● WhatsApp and WeChat for contacting suppliers (in China, WeChat is more than a chat app — you can use it to hail rides, translate and pay; it covers almost every daily travel and spending scenario)

● Payment tools that work in China, while keeping a backup such as a bank card

Support for different bank cards, wallets and regional accounts can change — please check with the relevant providers before you depart, and do not rely on a single payment method.

Stage 3

Entering the Venue: Find the Right Zone First, Then Start Sourcing

1. Navigating by venue name is more reliable than memorising a gate number

We suggest navigating directly to:

China Import and Export Fair Complex (Canton Fair Complex)

One important reminder: to avoid being misled by different zones or informal naming, use the venue name, the official exhibition area map and the entry guidance for the current session as your reference.

Both Xingang Dong Station and Pazhou Station on Guangzhou Metro Line 8 serve different areas of the complex. Confirm which exhibition area your target booth is in before deciding where to get off and which exit to use.

2. Before collecting your badge, keep three things within easy reach

According to the official pre-registration guide for the 140th Canton Fair, you should be ready to present as required:

● The badge collection QR code from the system

● The original of your valid ID document

● Your company business card

Official badge collection channels listed in the guide include the Overseas Buyer Registration Desk at the complex, and channels such as Guangzhou Baiyun Airport, the Pazhou Hong Kong–Macao Ferry Terminal, selected hotels and the Hong Kong office; some of these locations or lists remain subject to later announcement. Before you depart, check View badge collection locations in the system or the latest official notice.

3. Don't start with the first booth you walk past

Use the official Floor Map to confirm three things first:

● The booths you must reach today

● Where similar suppliers are clustered

● Your routes for resting, eating and leaving the venue

Schedule Tier A suppliers for when your energy is highest, place Tier B suppliers along adjacent routes, and leave Tier C for browsing at the end. You will walk less and come away with more useful information.

4. Pack for "a full day on your feet"

We suggest bringing:

● Comfortable shoes

● A power bank and charging cable

● Digital business cards and a small number of paper ones

● Water and a light document folder

● A phone-based spreadsheet or note template for quick records

The venue is huge, and equipment is not a small matter. Uncomfortable shoes, a dead phone battery, or business cards in a mixed-up pile will all directly affect how well you judge things in the second half of the day.

Stage 4 · Sourcing Efficiently

The most common mistake first-time exhibitors make is spending all their time "looking at products" without quickly judging whether a supplier actually fits the project.

In each initial meeting, we suggest confirming:

1. Is this a factory, a brand owner, or a trading company?

2. Which export markets do they mainly serve?

3. Do they have a factory, reference cases or a showroom near my target market?

Stage 5 · Getting to Know Us in Depth

A booth is only the beginning — the real assessment happens off the show floor

For non-standard products such as indoor play parks, what you can see at a trade show is actually very limited — a few sample machines, a couple of brochures, a few videos. That is nowhere near enough to judge a supplier's real capability.

There are three places genuinely worth seeing:

First, go to the workshop and look at standards. Check whether the production line is their own, whether the processes are standardised, and whether there are records for quality inspection. Equipment installed in an exhibition hall and equipment installed in a factory are two very different things.

Second, go to the office and look at the team. Can the design team produce drawings? Does the engineering team have experience? Has the operations team actually run a venue itself? With non-standard products, you are not buying a machine — you are buying an entire delivery capability.

Third, go to a country and city where they have a reference case and look at the venue. Visit a park that is already open and operating: look at real footfall, the condition of the equipment, and how it is maintained. Anyone can produce a render; an open, operating venue is the evidence.

If your project needs a deeper assessment, you can go on to arrange online meetings, a factory visit, sample testing or a project documentation review.

For large amusement projects, conversations at a booth are the beginning, not the conclusion.

If you are planning an indoor play park, a sports park, a parkour school or an outdoor children's space, you are welcome to bring your site floor plan, area, budget range and target customer group to our booth.

We would much rather start from a real project — discussing how to plan the space, how to configure equipment and how to connect each delivery stage — than simply hand over a product catalogue.
